Quick Start Guide

Here's a quick walk through of Ping. I'm gonna give you some best practices and tips and tricks that'll make using Ping even easier. If you need more details about any feature, there'll be more in-depth videos that you can refer to. To start, Ping is a tool that's gonna help you manage your client communications and relationships.
I first wanna emphasize the importance of integrations.
So if you click on the settings button on the bottom left
and then go to the integrations tab, you'll see that we can connect with calendar, email, and practice management.
Getting these integrations set up is important to get the most out of Ping.
For example, if you go to the home page, you can see upcoming meetings. This is pulling directly from your calendar.
You can also see that a notetaker is attending any meeting that has a link attached to it. That happens all automatically and you don't have to worry about it. If you ever want a notetaker not to go to your meeting, you simply click the tab
and it'll turn it off for you. There you go. Down below, you can see all past recorded meetings as well. So this is a easy way to see upcoming and past meetings all in one place.
If for whatever reason you don't have a meeting on your calendar, you can always use this join meeting button here. When you click join meeting, you can join a meeting with a link, so you can just paste the link here. You can join a phone call. You can type in the phone number here and send ping that way, or you can do live audio. So if you ever have an in person meeting, you can have ping join there as well.
Now I'm gonna go over three different sections here. Meetings page,
clients page, and ask Ping. So quick overview of the meetings page.
You can go through and search through any meeting. So you can use these filters to get recorded only meetings, search by attendee. You can also search specific meetings with the search bar up here. But once you're on this meeting page, if you go into any of those meetings,
you'll see the meeting view. This is gonna show you quick notes from the meeting. You can see any analytics from the meeting as well, and you can also ask Ping about anything here as well. So any questions you have about the meetings will be here as well. And the last thing I wanna show you is on the right side, there's the action items.
So these are gonna be different important things that Ping pulled out that you need to take care of, and then also
the recording as well. So if you ever wanna review the recording,
watch it back, or read your transcript, it's gonna be over here on the right.
Now the client's page.
If you're ever working with a client, I would recommend pulling up their page here on Ping. So for example, if I'm working with the Holy Taco,
I'll go to their client page. And this way, I have an overview of everything that's going on. There's this active alert section, which is super helpful that will tell me any action items that I've discussed that need to be taken care of. It'll also just give me general details about what's going on with them and who they are.
From here, I can also see past meetings and review meeting notes from that specific client.
It also has all emails and documents associated with those clients.
Now the ask ping section.
Ask ping can be extremely helpful as it allows you to search through your entire client communications.
So you'll always wanna make sure to add context. So if you press this plus button, you can search through different meetings and add context that way. I find that it's easier if you're inside a client. For example,
you can just click on the ask ping tab here up at the top,
and then you can query through that entire client context just right in this box.
Also, on the meetings page, you can search through different meetings and you can select multiple meetings. So if you select these three, you'll see down below it says press enter to chat about three meetings. So now you can query those three specific meetings. That can be helpful as if you have a day full of meetings, you can click all the meetings you went through that day and ask what actions need to be done. Uh, this will help you make sure you're not missing anything with the clients and also help you stay on top of all your tasks.
You can also go into a specific meeting if you just wanna ask about one.
For example, this one here.
And then inside that meeting, there's the ask ping tab, and now you're asking specifically about this. I like this best when I'm drafting follow-up emails because there's the quick click tab there.
And then it's gonna review the context of your meeting, pump out an email for you quickly,
and then there's actually gonna be a button on the top of this output
where you can go straight to Gmail and then send that without even having to copy and paste.
So that's quick practices on how to best use Ping. I would again recommend going to the client's page when you're working on that client, going to their overview page, asking Ping any questions you have, reviewing any past meetings you've had all here.
That's Ping. If you have any questions, always feel free to reach out and let us know.
Summary
Docker Davis gives a quick tour of Ping, a tool for managing client communications and relationships. He recommends setting up integrations first, then using Ping’s meeting, client, and Ask Ping features to keep track of discussions, follow-ups, and client context.
- Connect calendar, email, and practice-management tools in Settings → Integrations; calendar-linked meetings appear on the home page, and the notetaker joins meetings with links automatically (you can toggle it off).
- Join meetings by link, phone, or live audio; search recorded meetings by attendee or other filters, and review notes, analytics, action items, recordings, and transcripts.
- Use a client’s page for alerts, client details, past meeting notes, emails, and documents.
- Ask Ping works across client context or selected meetings; selecting multiple meetings can help identify follow-up actions. For a single meeting, it can draft a follow-up email and link directly to Gmail.
