Hello, everyone. I'm excited to share the Asana integration and how that works today. So first, let's talk about how to get it connected. So if you go to

0:10

settings

0:12

and then you go into

0:14

this integrations page up here and scroll down, you should see the card for Asana. I'm already connected. So if I disconnect,

0:22

normally, if you hit connect,

0:24

it will lead you to a different URL where you'll log in with your Asana credentials,

0:29

and then you'll get redirected back here. For me, because I'm... I've already been connected, it remembers me, and so it will just automatically,

0:37

um, bring me right back here and say I'm connected.

0:40

But the main feature of the Asana integration is syncing action items to Asana projects.

0:46

There's three ways this happens. You can manually, after a meeting, um, automatically

0:51

via a project assignment to a client or via personal fallback

0:57

project.

0:58

Um, I'll go through each of those and explain them. The the first one, the simplest one,

1:03

um, is

1:04

just, um, manually after a meeting is finished.

1:08

So if I go down here

1:10

to this meeting

1:12

and look at action items,

1:14

I can either bulk sync to

1:17

all of these action items to Asana, or I can just choose one. I'll just choose one right now and

1:22

choose an Asana project. I'll do this one.

1:25

Then it'll automatically sync to that project. And if I click view up here, it will take me directly to this

1:33

this action item that was created.

1:36

And these action items

1:38

honor the

1:40

assignee

1:41

and the due date created here.

1:45

Additionally,

1:46

and I think this is one of the coolest features for the Asana integration,

1:50

is per client,

1:51

you can actually configure a default project that you want action items to sync to. So if I go to

1:59

Agri Inc

2:02

and we select to pull up,

2:05

then we should be able to go to this integrations tab

2:09

and

2:11

configure a board... A default board project for this this client. So if I set up action item auto sync,

2:19

then choose

2:20

ping meeting notes, save configuration.

2:23

Now anytime I meet with any of these contacts,

2:27

um, actions created will automatically sync to the ping meeting notes project in Asana.

2:33

Additionally,

2:35

um, if I

2:37

am meeting with a client or anyone and I don't have this this project configured for them, I can set a default... A fallback project.

2:46

So if I go back to integrations, settings, integrations, and then down to Asana, I can configure this. And this is a personal fallback project.

2:55

So if I say ping the meeting notes, that means if I meet with anyone

2:59

and I... That... Or that's not a client, that is a client, if if they don't have this

3:04

project linked to them already via the... This client page,

3:08

um, then

3:09

all... Then action items will be... Will go,

3:13

um, to this personal fallback board. One caveat really fast too is,

3:18

say, there's three people at my firm that are all using Ping, and we're all in the same meeting,

3:24

um, and we meet with someone,

3:27

then... And we all have a fallback board configured.

3:29

If this person is not a client who has a project configured,

3:34

then,

3:35

um, all of the action items will be generated,

3:37

and all of them will go to each of our fallback boards.

3:41

And

3:42

so we'll each have our own copy of these action items

3:45

with ourselves as the assignee and with the due date of today.

3:49

But that's the sign integration. There's some more documentation on this below,

3:53

um, but I hope this helped, and have an awesome day.

Summary

Docker Davis demonstrates how to connect Asana and route meeting action items into Asana projects. Action items can be synced manually after a meeting, automatically through a client’s default project, or through a personal fallback project.

  • Connect Asana from Settings → Integrations; sign in and return to the app.
  • Manually sync one or all meeting action items to a selected project; synced items retain their assignee and due date.
  • Set a default Asana project on a client’s Integrations tab to auto-sync actions from meetings with that client’s contacts.
  • A personal fallback project receives action items when no client-specific project is configured.
  • If multiple firm members in a meeting have fallback projects, each gets a separate copy assigned to themselves, due today.
