Setting Up Clients

In this video, I'm gonna go over how to set up clients, explain why they're so important, and show you exactly what they look like. So if you click on the client's page here on the left, you'll see name, contacts, teams, and last interactions.
So the client name is the name of the company. So for example, Big W Construction,
contacts are the people who are associated with that client. So these are the people like Will and John. If I click on one of them, you'll see that there's an email associated with them and the name here as well.
That's important because any email communication I have with Will is now connected to this client, big w construction.
Same thing with John. It's a different email. So anytime that this email is used, then I'll be able to collect that information and start building out this client memory inside of BigW Construction.
And the reason that's so important is because now when I click on the company here and I go to ask ping, any question I have, it's gonna be pulling from all emails, communications with those clients and those contacts, and it's gonna be pulling from any meetings that I have with them as well. So you can see in the timeline, there's multiple emails,
meetings as well, and these are all pulled directly from being linked to those contacts. So that's why it's important to have the company, but also have contacts links to that company as well.
Then outside of that, you can see that there's teams. Teams is gonna be who gets to see these contacts from your company or inside your firm? So anyone from your firm that's a part of the all users team, which is gonna be all of your users, they're gonna be able to see these clients here. If it's anyone's part of just the Docker team, then they're the only ones that are gonna be able to see that client. So the Docker is the only one that's gonna be able to see Big W construction here. And then last interaction is just gonna show you the last time that you were communicated with these people.
What's important also is you can create new clients here.
That's pretty easy to do. And then also adding context is easy as well. So if you ever have anyone that joins the company or someone else that you're interacting with, you wanna make sure to add them as a contact to the client so you can continue to build out that client memory.
And that client memory is gonna become more and more powerful as time goes on as you get more and more information. And then emails that are drafted, workflows that are started, or tasks that are created are just gonna become more and more accurate over time. So that's why contacts and clients are so important to get set up. And there's also another video about how to import these clients all at once if you'd like, so feel free to look for that.
And that is the client's page.
Summary
Client records connect a company to its contacts, communications, and firm teams. Linking each contact’s email to the client builds a shared client memory that Ask Ping can use to answer questions and improve generated work over time.
- A client page shows the company name, contacts, teams, and last interaction.
- Emails and meetings associated with linked contacts appear in the client timeline and inform Ask Ping responses.
- Teams control visibility: all users can see clients assigned to the all-users team, while a client assigned to the Docker team is visible only to that team.
- Create clients and add new or newly relevant contacts to keep the client record and memory current.
- More client context can improve the accuracy of drafted emails, workflows, and tasks; a separate video covers bulk importing clients.
