Hey, everybody. Welcome to the ping

0:04

meeting one zero one crash course. So we're gonna be diving into meetings here.

0:09

So you... You'll... The initial page will take you to the past meetings here so we can see all the ping notes that have been taken place here. So let's jump into this one here. So we can either view the executive

0:20

notes or the detailed notes. We can also do some premeeting prep here so we can draft client ready agendas

0:26

with ask ping.

0:28

We're gonna look at with that agenda our previous communication with the clients there.

0:34

So really cool feature, but let's get into the notes.

0:37

So you're gonna get notes broken up into a few different categories here.

0:42

Lot more details with those notes, and then Ping's actually gonna pick up accounting principles and concepts that were discussed during the call. And then we have a q and a section down here. So whether you asked the question or the client did, those question and answers will populate there.

0:55

And then we can also sync those notes automatically to a few different platforms all listed here.

1:02

So all I have to do is hit the sync button, and as long as it's tied to the client in that platform, we're good to go. And one thing I always like to make sure is good to go, and this is the process of doing it. Just find that client. But one thing to make sure that goes over smoothly

1:17

is go to your settings and make sure auto sync to practice management is turned on. So you'll want that on in order for auto sync to continue to happen.

1:26

But let's go back into that meeting real quick.

1:30

We can also do the same thing with action items here. We can sync those to a few different platforms. We can add action item from this meeting if something was missed,

1:38

or we can select

1:40

these here and have them... I only want these two to sync. I can just have this sync.

1:44

You get the transcript along with description here. We can share our notes. Whether we wanna share detailed executive or the video and transcript, we can do that here. And then we can also see which team members have access this meeting. And if we wanna share with the whole org, we can turn that on or add specific individuals there.

2:03

And the last aspect is the analytics. So we get a breakdown of the talk time, the emotions from that meeting. If you ever see a time stamp, you can just click in there,

2:11

and it'll take you to that exact moment in the meeting. We can also

2:15

put a tag to this meeting. So this was an advisory meeting. These tags are all custom to your team, so you can create them however you want. And the reason for that is an organizational

2:24

aspect within here. So if I only wanna see my tax planning meetings, I would go to my filters,

2:30

tax planning only.

2:33

I have all my tax planning meetings here, and I can also create a custom

2:37

view up here that's labeled tax planning only. So that way, whenever I click this, it's only tax planning meetings, and I can review all those there.

2:46

And then with Ping,

2:48

I can also ask Ping to draft a follow-up button. So just hit draft to follow-up for me, and then all I need to do is hit

2:58

Gmail. This was a fake meeting. Sorry. I hit the wrong one. Hit the Gmail. It's gonna be a draft in my inbox.

3:03

The last aspect of meetings I always like to bring up is if you're ever in a client meeting and you notice it says link client,

3:11

that means this intelligence from this meeting isn't tied to the client intelligence.

3:15

So just make sure you click in there,

3:18

select the client,

3:20

add the email that's associated with that client there,

3:24

and then the intelligence is gonna be updated. But that is everything to do with the meeting section. The only thing with upcoming meetings is if I don't want the notetaker there for some specific reason, I can turn it off here. That is everything for the meeting side of things.

Summary

Docker Davis gives a walkthrough of Ping’s meeting features, from reviewing notes and syncing them to platforms to organizing meetings and drafting client follow-ups.

  • Meeting notes include executive or detailed views, accounting concepts, and a Q&A section; agendas can be drafted using prior client communications.
  • Notes and selected action items can be synced to connected platforms. Auto-sync requires enabling it in settings, and the meeting must be linked to the correct client.
  • Staff can share notes, transcripts, or video with specific people or the whole organization, and review talk-time and emotion analytics with clickable timestamps.
  • Custom tags, filters, and saved views help organize meetings; Ping can draft a follow-up email in Gmail.
  • For upcoming meetings, staff can turn off the notetaker when needed.
