Understanding Client Intelligence
Thursday, October 1, 2026 at 5:49 PM
Client intelligence is what separates Ping from all other note taking tools out there. We're creating an AI brain that actually knows your client. So here's a quick explanation of how that works and why setting up clients is so important.
So over here, I'm gonna go to the client's page.
And here's a quick visual of how this is actually working. So if I click on a client here, you'll be able to see some basic details about them, but I wanna focus on this timeline here.
So this timeline shows all the meetings and email communication that I've had with this client over time. So what's cool is we're pulling all emails, all meetings, and putting them into this one client memory that actually knows your client. So then when you do use our AI features and you wanna query, ask ping, start workflows, draft emails, whatever it is, we're pulling from all this past context that actually knows your client, and we're not just pulling from one email or one meeting or one specific event. We can have an entire memory that's focused specifically on your client. So as you can see, this is pulling in all this information from past communications.
And the way it's set up is every time you have a communication with either of these contacts, so Will, Scott, and John are both associated with this client. So anytime you get an email from either of them, it'll be added to this client memory here. So it's really important that we have contacts and emails associated with these clients that we're creating.
So the way that works is inside this client's view,
you can see ABC Cafe has two contacts associated with it, Emma and Steve Martin. So whenever you have email communications or meetings with these clients, it's gonna automatically add that information to this client here as well. This one only has one, John Wayne. He's the only one for ABC Plumbing, and you can see there's three more associated with this one as well. So if we click on it inside, you can see all the names here as well.
You can always add contacts here, so you can add them here. You can link existing contacts as well, and you can also add them here on this main page.
Also, anytime that you create a new client and you add the name, you can link contacts as well. You can link existing or create new contacts as well. We have some help center articles out there and other videos that will help you create contacts and clients and also import these clients in bulk as... We also have some integrations where you can import clients directly from your practice management tools. But no matter how you get those clients into Ping, I hope you can get that done soon so you can start enjoying all the wonderful features that Ping has to offer.
Summary
Ping builds a client-specific memory from past meetings and email communications, giving its AI features broader context than a single message or event. Accurate client-contact links are key to capturing that history and using it in queries, workflows, and email drafts.
- Meetings and emails with contacts associated with a client are added to that client’s timeline and memory.
- Staff can add contacts, link existing ones, or create new contacts when setting up a client.
- Clients can also be imported in bulk or through integrations with practice management tools.
